General – Clinical Appointments & Treatments

At Sussex Back Pain Clinic, we strive to provide the highest standard of patient care.

Payment is required at the time of booking to secure your appointment.

If you need to cancel or reschedule an appointment, we require a minimum of 48 hours’ notice.

• 48 hours or more: No cancellation fee.
• Less than 48 hours but at least 24 hours: A cancellation fee of 50% of the appointment fee will apply.
• Less than 24 hours or failure to attend: The full appointment fee will be charged.

These cancellation terms apply to clinical appointments and treatments, excluding appointments booked using prepaid massage passes, which have separate cancellation terms below.

DISC Recovery Programme Packages

Fees paid for structured treatment packages or programmes (such as the DISC Recovery Programme or Better Back Programme) are calculated based on a committed course of care.

If you choose to discontinue your programme early or are medically advised to suspend treatment, any applicable refund for unused sessions will be calculated based on our standard individual session rates rather than the package discount rate. This does not affect your statutory rights.

Massage Pass Terms & Conditions

General

• Massage passes and packages (including Blocks of 6 and multi-month plans) are prepaid and non-refundable, except where required by law.
• Passes can be used for Sports Massage Therapy appointments only and are non-transferable between clients.
• Passes cannot be exchanged for cash or used towards other services.

Validity

• Packages (6-, 12- or 24-massage plans) are valid for 12 months from the date of purchase.
• Any unused massages after the expiry date will be forfeited, subject to statutory rights.
• Extensions may be considered in cases of illness or exceptional circumstances — please contact reception.

Payment

• Full payment is required upfront at the time of purchase to qualify for the discounted rate.
• Package discounts cannot be combined with other offers or promotions.

Booking & Cancellation

• Appointments must be booked in advance and are subject to availability.
• Please give at least 24 hours’ notice to cancel or reschedule an appointment.
• Missed appointments or cancellations made with less than 24 hours’ notice will result in one session being deducted from your pass.

Using Your Pass

• Each massage used will automatically deduct one session from your remaining balance.
• You can check how many massages you have left by asking reception.

Refunds

Refunds for eligible clinical fees or prepaid balances will be processed back to the original payment method within 5–7 business days.

Insurance Claims

If you plan to claim treatment fees through your health insurance, please check with your provider to confirm coverage. Payment is required at the time of booking, and we will gladly provide a receipt to assist with your claim.

Agreement

By booking an appointment, you confirm your acceptance of our payment and cancellation policies, provided these terms have been made available to you before booking.

These terms and conditions do not affect your statutory rights.

Changes to Terms

Sussex Back Pain Clinic reserves the right to update these terms and conditions. Any changes will be published on our website and communicated by email where applicable. Changes will not retrospectively affect existing bookings or prepaid packages without your agreement.
